We analyzed 350+ implementations from the last five years — about 50 of them custom-built. The conclusion is clear and trending: for organizations of 10 seats and up, a custom system almost always wins on total cost — not just flexibility. The build costs around two-thirds of an off-the-shelf solution (sometimes half), there's no per-user monthly licensing, and maintenance is significantly cheaper. And the bigger the organization, the wider the gap.

A custom system includes exactly what you need — not one extra screen.

AI tooling has changed the equation. For an initial MVP, the time is now similar on both paths, giving the client a fast visual indication of fit. But for a fully ready system there's a gap: producing functionality inside a shelf system means working within the tool's limits, and bending an existing system now takes longer than building a tailored solution from scratch with AI tooling.

Off-the-shelf fits when the need is entirely standard, the organization is very small, and a solution is needed immediately. In every other case — especially from 10 seats up — a custom system delivers flexibility, exact process-fit, and higher satisfaction, at a lower total cost. It's also the trend we see in the field: across our 350+ implementations, the share of custom systems is steadily growing, with fewer issues and far lower maintenance costs.
